Position Overview
The Executive Assistant will play a critical role in ensuring seamless administrative and operational support across the executive team. This position is hybrid (4 days on-site and 1 day remote) and requires exceptional attention to detail, strong communication skills, and the ability to anticipate needs in a fast-moving, entrepreneurial setting. The ideal candidate is polished, dependable, and thrives on building strong relationships with internal and external stakeholders.
Key Responsibilities
Executive Support & Administration
- Manage complex calendars, schedules, and meeting logistics
- Draft and manage correspondence; act as primary communication point for executives
- Organize materials for meetings, prepare presentations, take minutes, and track action items
- Coordinate domestic and international travel, itineraries, and expense reporting
Operational Coordination
- Provide consistent onsite office support
- Facilitate hybrid meetings using Zoom, Teams, or similar platforms
- Organize and maintain both digital and physical filing systems
- Assist with company events, leadership meetings, and board-related logistics
Project & Stakeholder Support
- Conduct research, compile data, and assist with special projects
- Serve as a liaison between executives and internal/external partners
- Uphold confidentiality and handle sensitive information with complete discretion
Qualifications
- 5+ years supporting senior leaders in an Executive Assistant or similar administrative role
- Bachelor's degree preferred (or equivalent experience)
- Strong proficiency with Microsoft Office Suite, Google Workspace, Zoom/Teams, and scheduling platforms (Calendly a plus)
- Exceptional written and verbal communication skills
- Highly organized with outstanding time-management and prioritization abilities
- Comfortable in a hybrid environment, shifting seamlessly between onsite and remote work
- Demonstrated integrity and experience handling confidential information
