Paralegal / Legal Administrative Assistant
Position Summary
A growing mining and natural resources company is seeking a highly organized and detail-oriented Paralegal / Legal Administrative Assistant to provide comprehensive administrative and operational support to its Legal Department. This role will play a key part in supporting legal leadership, corporate governance activities, investor-related matters, and day-to-day legal operations. The ideal candidate is proactive, professional, and able to manage multiple priorities while maintaining exceptional accuracy, confidentiality, and attention to detail in a fast-paced corporate environment.
Key Responsibilities
- Provide administrative support to legal department leadership and team members.
- Manage complex scheduling and high-volume calendaring, ensuring meetings are coordinated efficiently and accurately.
- Proactively monitor calendars and resolve scheduling conflicts.
- Coordinate legal billing processes and communications with outside counsel.
- Support investor-related meetings, including logistics, scheduling, and preparation of presentation materials.
- Maintain and manage secure internal information portals and records.
- Coordinate travel arrangements and meeting logistics as needed.
- Draft, edit, proofread, and format correspondence, reports, presentations, and other business documents.
- Serve as a point of contact for internal and external stakeholders while maintaining professionalism and confidentiality.
- Assist with Board of Directors meetings, annual shareholder meetings, and other corporate governance activities, including preparation of agendas, materials, minutes, and follow-up documentation.
- Maintain legal files, contract tracking systems, and corporate records.
- Process invoices, expense reports, and purchase requests in compliance with internal policies.
- Track departmental projects, deadlines, and deliverables.
- Handle sensitive and confidential information with discretion and sound judgment.
- Perform other administrative and legal support duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 3-5 years of administrative, executive support, legal assistant, or paralegal experience.
- Demonstrated success managing complex calendars, documentation, and administrative workflows.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); Adobe experience preferred.
- Experience supporting multiple stakeholders, executives, or legal professionals.
- Excellent written and verbal communication skills.
- Strong professional presence and ability to interact across all levels of an organization.
- Ability to handle confidential and privileged information with discretion and integrity.

Compensation & Benefits
- Salary: $72,000 - $88,000 annually, commensurate with experience, skills, education, and relevant qualifications.
